LoyaltyBoard feature
Invoice claims verified in seconds, not weeks
Claims and invoice OCR in LoyaltyBoard let partners upload a purchase invoice, while AI-powered OCR reads it, validates the amount and credits points — with multi-level approval workflows and fraud checks before anything is paid.

The challenge
Why claims slow programs down
Manual claim checks are slow and leak money.
01
Paper and spreadsheets
Teams retype invoices and partners wait weeks for points.
02
Duplicate claims
The same invoice gets claimed twice, or by two partners.
03
Tampered invoices
Edited amounts slip through manual checks.
04
No audit trail
Nobody can show who approved what, and why.
The basics
What is invoice OCR in a loyalty program?
Invoice OCR (optical character recognition) reads an uploaded photo or PDF of a purchase invoice and pulls out the details a loyalty program needs — such as the products and amounts — so points can be credited without someone typing the invoice in by hand.
In many Indian channel programs, invoices are still how partners prove a purchase. Without OCR, teams retype them into spreadsheets, partners wait for points, and errors and duplicate claims slip through. With OCR, the claim is read as soon as it is uploaded and moves straight into checks and approval.
On LoyaltyBoard, AI-powered OCR reads invoices, validates amounts and credits points, with document verification workflows and multi-level approval for claims. The OCR workflow is included from Starter; AI OCR verification and AI fraud detection are included from Growth.
How it works
How a claim is processed
Upload to credited points.

- 2Read
OCR extracts
AI-powered OCR reads the invoice and validates the amount.
- 3Check
Rules and fraud checks
Duplicate and anomaly checks, then approval at the levels you set.
- 4Credit
Points credited
Approved claims credit points and notify the partner.
Best practices
How to run claims partners trust
Partners judge a program by how quickly their claims turn into points. Publish what a valid claim looks like, keep the upload to a single photo where possible, and tell partners when a claim is received, approved or rejected — with a reason.
Use approval levels only where they add value. Set more approval levels for larger or unusual claims and fewer for routine ones. Every approval and rejection should leave an audit trail.
Where you can, match claims against order data. LoyaltyBoard integrates natively with Distribution+, so purchase data flows in automatically and your team can check claims against real orders.
- Publish clear rules for a valid claim
- Notify partners at every stage
- Approve small, clean claims automatically
- Route large or unusual claims to a reviewer
- Keep an audit trail of every decision
For finance and audit
Why a claims workflow matters to finance
Every point credited is a liability until it is redeemed, so finance teams need to know that each claim was real and properly approved. A documented claims workflow — upload, OCR read, checks, approval and credit — gives them that record without chasing sales teams for paperwork.
With claims in one system, finance can see how many claims are pending, approved or rejected, and why. Rejections carry a reason, approvals carry a name and a time, and the original invoice image stays attached to the claim.
That same record makes year-end and audit work simpler. Instead of reconciling spreadsheets from several regions, teams can pull claim history by partner, region, scheme or period from LoyaltyBoard's reports.

FAQs
Claims and invoice OCR FAQs
What is invoice OCR in a loyalty program?
Invoice OCR reads a photographed or uploaded invoice automatically, extracts the products and amounts, and uses them to credit loyalty points — instead of someone typing it in.
How are fake invoices caught?
OCR verification catches invoice tampering, and AI flags duplicate claims and unusual patterns before points are credited.
Can we add our own approval steps?
Yes. Document verification workflows support multi-level approval for claims.
Which plan includes OCR?
The OCR workflow is included from Starter. AI OCR verification and AI fraud detection are included from Growth.
Can claims come from our DMS instead of invoices?
Yes. Purchase data from Distribution+ flows in automatically, and other systems connect through APIs on Enterprise.
What file types can partners upload?
Partners upload a photo or PDF of the invoice from the app.
How are partners told about their claim?
Approved claims credit points and notify the partner, so they can see progress without calling your team.
